Chairman of the Board

Actions

The Chairman of the Board runs the annual meeting with the election of officers, assigns a committee to annually review Bylaws, communicates with the Liberty Camp Board members when issues arise that require a vote of the Board.

Time Commitment

  • One annual meeting in January

  • One hour per month year-round

President

Actions

The President is responsible for the supervision and control of all the business and affairs of Liberty Camp for Kids.  The president is responsible for development and maintenance of policies and procedures that protect the Liberty Camp for Kids organization.  As a minimum, policies should be prepared covering conflict of interest and whistleblowing

The president is responsible for assuring that new board members receive board orientation to ensure all board members receive relevant and consistent information on their governance responsibilities, on the organization and the board’s expectations.

The president is responsible for assuring the board reviews the bylaws periodically and ensuring timely amendments when necessary.

Vice President

Actions

The Vice President is responsible for assisting the President, and in the event of the death, resignation, or removal of the President, shall assume the duties of the President.

Secretary

Actions

The Secretary shall ensure board minutes are kept indicating board approval of expenditures and investments and to show informal discussions were held prior to approval of such transactions. 

The Secretary shall ensure all notices are given in accordance with the provisions of the bylaws or the Liberty Camp for Kids policy or as required by law. 

The Secretary is responsible for maintaining custody of the corporate records and seal.

The Secretary is responsible for receiving and maintaining copies of all camper registrations, and for Teen Patriot and Volunteer applications.  The Secretary is responsible for maintaining a spreadsheet of campers, Teen Patriots, and volunteers.

The Secretary is responsible for preparing and printing certificates for campers and Teen Patriots.

Time Commitment

  • One annual meeting in January

  • February and June: one hour for each month

  • July: three hours

This position is fully remote.

Treasurer

Actions

The Treasurer shall be responsible for all funds and securities. In addition:

  • Receiving funds due and payable to Liberty Camp for Kids and for issuing receipts for such funds; for receiving donations for Liberty Camp for Kids and for issuing substantiation documentation to donors as required. The treasurer is responsible for depositing such monies in the Liberty Camp for Kids bank account.

  • Receiving and processing invoices from vendors and updating the Liberty Camp for Kids checkbook and records.

  • Recording all transactions in QuickBooks.

  • Preparation of annual budgets, preparation of annual financial statements, preparation of annual Tax Returns and filling Form 990N with the IRS and State of Ohio.

  • Preparation and maintenance of procedures or instructions, as needed, to describe and document the activities of the Treasurer.

  • Establishing and maintaining appropriate internal accounting records, reimbursement policy, and monitoring grant administration.

  • For maintaining the Liberty Camp for Kids Treasurers laptop computer and passwords.

  • One hour each month year-round

Human Resources Director

Actions

The Human Resources Director sits on the Board of Directors.

Responsibilities include recruiting volunteers and working with the Group Leader, Station Leader, and Teen Patriot Coordinators to schedule and assign volunteers. The Human Resources Director is responsible for overseeing these positions:

  • Group Leader Coordinator

  • Station Leader Coordinator

  • Teen Patriot Coordinator

  • Re-enactors

  • Colonists

Public Relations Director

Actions

The Public Relations Director sits on the Board of Directors and is responsible for overseeing these positions:

  • Social Media Coordinator

  • Website Coordinator

  • Publicity

Operations Director

Actions

The Operations Director sits on the Board of Directors and is responsible for overseeing the general operations of Liberty Camp. In addition, the Operations Director oversees:

  • Opening/Closing Ceremonies Coordinator

  • Registration Table Administrative Assistants

  • Costumes Coordinator

  • First Aid Coordinator

  • Picnic Coordinator

  • Fundraising Coordinator

  • Photography/Videography Coordinator

  • Camper and parent communication and group assignments

Properties Director

Actions

The Properties Director sits on the Board of Directors and is responsible for overseeing these positions:

  • Facilities Coordinator (tear down and set up)

  • Materials Coordinator (tubs, station supplies, and props)

  • Name Tags/T-Shirts Administrative Assistants

  • Camp Bags Assistant

  • Prop Design and Care Assistant

  • Boat Maintenance

In addition, the Properties Director is responsible for:

  • Decorating the camp (flags, etc.)

  • Ordering and scheduling portable restroom facilities (port-a-potties)
